Necessary email profile for sending merged emails from a shared email account
The setup to send mass emails from a shared email address, includes a new email profile. In this way responses go back to the shared email account and not the person’s account who performs the work of sending out the bulk email.
IMPORTANT: You must have a “Shared email address” that you are a listed delegate of. This will not work for a group’s email address.
Steps to create an email profile:
- Close Outlook
- Open Control Panel
- Select "Mail" > then click on "Show Profiles" > click on Add.
- Enter the shared mailbox name and click OK.
- Click Manual setup or additional server types and click Next.
- Click Office 365 and enter the email address for the shared mailbox, then click Next.
- Finish (You might want to uncheck “Set up Outlook Mobile on my phone too.”)
- Open Control Panel > click Mail > click Show Profiles and select Prompt for a profile to be used. Click OK.
- Open Outlook and select the newly configured profile
Now from the newly created profile you can run the mail merge from Word and the return address for the recipients will be the shared email address.
